Ricoh Enhances Workflows & Reduces Costs For Firms

Ricoh Americas Corporation today unveiled a new offering that, when combined with select Ricoh multifunction products (MFPs), creates a Legal MFP that delivers improved end-user workflows while also enhancing operational efficiencies and helping to lower overall costs. Law firms seeking to reduce redundancies related to cost recovery will benefit from the single, integrated user interface, which helps minimize steps in the process and integrates access to third-party document management systems. Ricoh will preview its Legal MFP at LegalTech, February 3-5, 2015, in New York City in Ricoh’s booth, #231.

With the largest network of document processing centers in the U.S., Ricoh’s certified personnel have hands-on experience with the processing of legal documents. This expertise, and investments in innovative technology offerings, has led to the development of the Legal MFP. With this MFP software solution, law firms will:

• Reduce unneeded steps involved in the scanning process. Today, using disjointed systems can be tedious and take up precious minutes that could otherwise be dedicated to another matter. With Ricoh’s Legal MFP, redundancies in steps are reduced and the overall scanning experience is more streamlined.

• Scan to legal Document Management Systems including iManage, WorldDox, and OpenText. This approach streamlines previously disjointed processes to minimize the number of steps by end-users and eliminates data entry redundancy, e.g. log-in credentials, client matter numbers, etc.

• Automatically split files to court-specified file size limits and convert them to the appropriate file format.

“Our team of certified legal experts spends many hours with clients truly getting to the bottom of their pain points. These conversations have made it clear that law firms are seeking improvement in two main areas of document output: lowered spend on cost recovery systems and centralization of third-party systems,” said Matt Sakauchi, Vice President, Product Marketing, Ricoh Americas Corporation. “Knowing this, Ricoh has made strategic investments in both our people and technologies to help our clients see these improvements. The Legal MFP is a perfect example of a solution developed to meet our clients’ needs – enabling them to streamline workflows and lower overall output costs.”

For a demonstration of Ricoh’s Legal MFP, please visit the Ricoh booth (#231) at LegalTech or reach out to Tracey Sheehy at tsheehy@breakawaycom.com to schedule a meeting at the show.

Catalyst Launches CAL Directly Into Review Process

Catalyst Launches “Active Review” Integrating Continuous Active Learning Directly Into Review Process

Catalyst is First to Integrate TAR 2.0 Continuous Active Learning into the Review Process Helping Clients Save Time and Money on Discovery

NEW YORK, Feb. 3, 2015—Further expanding its leadership as the first company to offer TAR 2.0 technology, Catalyst today released “Active Review” functionality that integrates Continuous Active Learning (CAL) protocol into the review process.

Active Review runs in the background of the review and continuously applies its learning algorithm to the document population. Every judgment that a reviewer makes about a document enables the system to grow smarter about which documents in the population are likely to be relevant or non-relevant. As the system grows smarter, clients save on time and review costs because the system brings more relevant documents to the front of the queue. As a result, you can stop the process earlier than with TAR 1.0 “one-time training,” which means lower costs and quicker review.

No other product on the market has a feature like Active Review. It eliminates the traditional separation between linear and Technology Assisted Review, through a single, integrated workflow. Among the significant benefits:

  • Continuous Rather than One-Time Training: Active Review integrates CAL directly into the review platform and continually ranks all of the documents, allowing for continuous rather than one-time training. Clients save as the algorithm gets smarter about the documents.
  • Handles Rolling Uploads: You can add more documents to the collection at any time and they will be immediately incorporated into the ranking.
  • Subject Matter Expert: Active Review eliminates the need for SMEs to train the system, as is required by other platforms.
  • Faster Review at Lower Cost: The integration of CAL directly into the review process means you start your review more quickly and get through it more efficiently.

“Continuous Active Learning is a proven way to find relevant documents more quickly, which means our clients can reduce review costs and save time in the bargain. We started promoting continuous learning protocols for larger cases several years ago and our clients immediately realized savings,” said John Tredennick, CEO and founder of Catalyst.  “Today, we are further integrating this advanced protocol into our standard review module so all clients can take advantage CAL, even in smaller review projects.”

Catalyst is the only e-discovery company to incorporate CAL into its technology. A 2014 peer-reviewed study by two of the leading experts on e-discovery, Maura R. Grossman and Gordon V. Cormack, concluded that CAL demonstrated superior performance over other TAR methods, while avoiding many of their problems, and that CAL found relevant documents more quickly and with less human effort.

Mitratech Releases New Lawtrac at Legaltech

Lawtrac 4.0 features the clean, modern, user-centric interface that today’s legal professionals expect - driving greater adoption and benefits for legal teams

AUSTIN, Texas, February 2, 2015– After 30 years as a pioneer in legal matter management software, Mitratech’s Lawtrac product has been completely transformed with the release of Lawtrac 4.0. Mitratech, the leading provider of enterprise legal management solutions, acquired the Lawtrac product in early 2014 with the goal of making it the premier matter management and e-Billing solution for small and mid-sized legal departments.  Through Mitratech’s significant increase in research and development investment, today’s release at LegalTech® positions Lawtrac as that premier solution.

While Lawtrac has long been recognized for its comprehensive matter management, contracts management, and e-Billing functionality, the new Lawtrac offers a complete re-design of its user interface and experience, along with expanded functionality and configurability. The clean design, streamlined navigation, and data entry enhancements make it intuitive and simple for legal staff to adopt - allowing Lawtrac clients to optimize the value of their investment in legal technology.

“We’re very impressed with the clean easy-to-use interface,” noted HMSHost Vice President and Associate General Counsel Nina R. Eldred. “It’s going to make our continued roll-out to the field all the easier.”

“Our acquisition of Lawtrac in 2014 was a critical step in being able to deliver on Mitratech’s mission of offering technology solutions that enable legal departments of all sizes to be the best-run function in their organization,” said Mitratech CEO Jason Parkman. “The new Lawtrac takes the delivery of that mission one step further, and we’re incredibly proud of the positive accolades that it has earned from both our clients and the broader market.”

Based on an early preview of the Lawtrac 4.0 release, Hyperion Research recognized Lawtrac as an Advanced Solution Provider for the first time in its long history in its 2014 ELM MarketView Report. Designating Lawtrac as the Market Leader for service to the mid-market, the report found that “[Lawtrac’s] vast out-of-the-box functionality allows mid-sized law departments to deploy Lawtrac quickly, while configurability allows those departments to mature and develop their own processes at their own pace.”

Specific enhancements and benefits in the new Lawtrac release include:

  • Complete Re-design of the UI and Simplified Navigation: The modernized interface and easy navigation allows legal staff to utilize Lawtrac’s capabilities at a far more rapid pace.
  • Comprehensive Search Enhancements: A full redesign of Lawtrac’s search capabilities, including Quick Find and Super Search, enables attorneys to better manage their portfolio of matters.
  • Data Entry Enhancements: Data entry enhancements include a redesigned matter entry wizard, the ability to run duplication checks, save data upon entry, and hide unrequired fields.
  • Enhanced Workflow Configurability: Increased configurability of the fields required to support specific legal workflows improves the efficiency of whole legal department.
  • New Offers and Demands Module: Brand new features to track offers and demands to and from parties and entities to settle a matter, provide additional structure for attorney negotiations, and assist the legal team to provide accurate visibility into potential spend.

“EDC’s Office of Legal Affairs conducted a thorough market survey of legal matter management software products in 2013 and selected Lawtrac based on its customer service and sophisticated database,” said Education Development Center paralegal Christopher Carmody. “As a mission-driven non-profit organization devoted to improving lives through its program work, it was critical to find a matter management software to enhance the Office’s delivery of legal services. Each of EDC’s programmatic divisions – health and human development, learning and teaching, and international development – have benefited from Lawtrac’s direct impact on the Office’s delivery of legal services. We are looking forward to upgrading to Lawtrac 4.0 because of the improvements to the user interface which simplify and clarify the latent functionality of the database. Lawtrac has helped make our legal department even more efficient and effective.”

Demonstrations of the new Lawtrac will be available at LegalTech® February 3-5, 2015; Mitratech can be found on Level 2 at booth #2119.

Ushering in a New Era of E-Discovery

Ushering in a New Era of E-Discovery

Zapproved is a company on a mission — a mission to transform the way corporate legal departments respond to e-discovery. With the launch of the Z-Discovery Platform, corporations will use innovative cloud-based technology in support of the “just, speedy and inexpensive” resolution of today’s e-discovery challenges.

The E-Discovery Status Quo is Unsustainable

The reality is the current approach to e-discovery is, quite frankly, unsustainable. Data volumes are exploding, storage locations proliferating, and a “collect everything” mindset is resulting in costs and burdens that are completely out of control, while the “e-discovery industrial complex” proliferates the wrong approach.

Furthermore, a per-gigabyte pricing model yields costs that are “unconscionable” as outlined in a recent blog post by well-known discovery expert Craig Ball (Unconscionable Charges for E-Discovery).  He describes an affidavit justifying $189,000 simply to process, cull and host 505 gigabytes of data collected from 25 custodians.  It’s no wonder that corporate legal departments are clamoring for more control and an alternative to run-away costs.

The Right Approach Enabled by the Cloud

With Z-Discovery, a sustainable approach starts with the confidence of a rock-solid preservation process that enables preserving data in place, then collecting the right data when and where you need it.  It takes advantage of a tectonic shift to cloud computing that offers hyper-efficient secure data processing regardless of volume.  And it puts the corporation back in the drivers seat.

The newly introduced Z-Discovery Platform begins with Legal Hold Pro, the most trusted cloud software in use by corporate legal departments. It adds Data Collect Pro for targeted, remote data collections at the click of a button. Digital Discovery Pro then enables unmatched data processing speed and flexibility, whether analyzing a single PST file or culling through more than a terabyte of data per hour.

Imagine a company with a mobile and global workforce faced with the need to collect data from remote locations. One of Zapproved’s Fortune 50 customers is a globally known consumer products company based in the Midwest with employees in over 80 locations worldwide. They use Legal Hold Pro to automate the communication with custodians and manage the legal hold notification process. But when required to collect data remotely, they face putting a technician on a plane, or causing major business disruption while computers were isolated and files copied.

In contrast, Data Collect Pro allows the corporate legal team member to remain at headquarters and remotely initiate a collection in the background without disturbing the ability of the custodian to work while the collection was taking place.  In a similar way, Digital Discovery Pro offers unlimited scale and instantaneous access to data for culling and first-pass review. The better option is clear.

The Only Solution that Makes Sense

Cloud computing is forever changing the dynamics of computing – how we create, store and retain information. Cloud computing allows smaller companies to compete with the giants because they have access to the same power and flexibility for an affordable price. With this path corporate legal departments get virtually limitless resources for instantaneous scalability of processing power, total ease of use, and immediate deployment so that corporations are up and running quickly. We are doing that for corporate legal teams at companies of any size. By embracing the cloud, corporate legal departments can manage e-discovery in-house and choose the capacity and capabilities that matches their needs.

Zapproved Ushers in a New Era of E-Discovery

Zapproved Ushers in a New Era of E-Discovery

New York, Feb. 2, 2015 – Zapproved Inc. today introduced the new Z-Discovery™ Platform,  a cloud-based software suite that transforms the ability of legal departments to preserve, collect and analyze massive amounts of data in-house and affordably.

“The traditional approach to e-discovery is unsustainable,” said Zapproved CEO Monica Enand. “Corporations are facing exponentially growing amounts of data that sit in disparate places. There’s an ‘e-discovery industrial complex’ that feeds off of this with a ‘collect everything’ mindset — and charges exorbitant rates to do so. Corporations can’t continue down this path and we need a new approach to achieve the goals of Rule 1:  a ‘just, speedy and inexpensive’ resolution to civil litigation.”

Z-Discovery begins with Zapproved’s flagship Legal Hold Pro™ product which is the most trusted cloud software in use by corporate legal departments. Added to that are two new products, Data Collect Pro™ which provides a cost-effective and user-friendly application for conducting targeted collections remotely and defensibly, and Digital Discovery Pro™ which provides hyper-fast, cost-effective processing software to pare down data sets to the most pertinent information. Powerful cloud-based computing enables Digital Discovery Pro to process at speeds exceeding a terabyte per hour.

Zapproved architected the Z-Discovery Platform from its foundation to take full advantage of the efficiencies that cloud infrastructure offers. Corporate legal departments have unprecedented control via an intuitive interface and visibility at every step of the process. Hosted on industry-leading Amazon Web Services, Z-Discovery can be deployed instantaneously and is scalable to handle matters of any size. Finally, Z-Discovery offers predictable pricing that makes sense because clients can select an affordable plan that matches the resources with their expected e-discovery needs.
